Job Summary: The Office Assistant (Buffer at any of our branches) will be responsible for Administrational support to the branch in the areas of office purchases, cleanliness of the office premises, provision of refreshments, as well as managing branch deliveries in a cost efficient manner and as guided by UGAFODE internal policies and procedures.
Key Duties and Responsibilities:
- Managing cleanliness/tidy of work premises: Taking charge of all branch premises and ensuring that office space as well toilets are kept tidy, clean and conducive to support employee productivity for work.
- Managing stock of essential supplies: Making requisitions for supplies of sugar, tea leaves, toiletries and stationery and maintaining proper records so as to manage them efficiently and effectively.
- Branch Welfare: Supply refreshments, teas, bites and water for smooth running of office operations at the branch in a timely manner with due regard to safety standards at all times and controls of branch business operations.
- Processes branch deliveries: Support with processing of all incoming and outgoing branch deliveries/Office errands as and when are needed. These would include; office deliveries, purchases, banking, stocking or any other as may be approved by relevant authorities from time to time.
- Reporting and accountability for all advances made i.e. cash against procurement budget related to the office assistant role as well as reporting on all branch damages, blockages, stock outs in a timely manner.
- In charge of advance arrangement of office meeting by ensuring that the premises are clean, refreshments are availed, chairs and tables are in order and in time to support branch business operations.
- Compliance: Ensure adherence to UGAFODE set standards and controls in operations such as; customer complaint management, staff conflict resolutions, service turnaround time by implementing measures aimed at guaranteeing an effective and efficient process in office assistant position.
- Support to customer care desk: offering any support aimed at enhancing a sterling customer experience at the branch; including making photocopies, handling inquiries as well as cross selling of bank’s service and products to customers or as may be requested from time to time so as to attract, retain and effectively manage bank customers.
Qualifications, Skills and Experience:
- The applicant must hold an Ordinary Level Certificate of Education (UCE) or Equivalent. Any formal or informal training in office management is added advantage.
- Any work experience related to the work i.e. Managing an office, Hygiene, Procurement and running petty cash budgets is desired.
