Job Summary:  The Administrative Assistant/ Receptionist will provide highly confidential secretarial and clerical responsibilities necessary for an efficient and effective school office that assists the Head teacher and school staff in the performance of responsibilities so that a safe learning environment and effective instruction are provided to ensure that all pupils meet and exceed the Core Curriculum Content Standards.

 

Key Duties and Responsibilities:

  • Organize and maintain an efficient and effective office that handles a variety of tasks for the administration, staff, pupils, visitors and parents of the school.
  • Conduct secretarial and clerical tasks of a varied nature.
  • Collect and distribute mail and handle correspondence of the office, responding to routine requests for information, and transcribing, word processing, and proofing letters and responses.
  • Type, reproduce and distribute notices to staff, pupils and parents.
  • Type homework, tests and examinations and other evaluation exercises as directed by the Head teacher.
  • Ensure that all communications from the office meet proper written and oral English standards.
  • Serve as a receptionist, greeting visitors, answering telephone calls in a pleasant and efficient manner and communicating effectively in routine, sensitive, and confidential matters.
  • Register new pupils, secure appropriate pupils records, maintain confidential pupil records, and transfer records for pupils moving to other schools.
  • Maintain attendance data for each staff member, recording attendance, absences, substitutes, and other required information.
  • Maintain a current school calendar of events and use of facilities.
  • Arrange appointments and maintain a schedule for the Headteacher or designee and assigned staff.
  • Order and maintain office supplies.
  • Maintain inventories of books, materials, and equipment of the school.
  • Create and maintain a clean, attractive, orderly, safe, and efficient office environment.
  • Quickly recommend to the Headteacher improvements needed in office procedures or operations.
  • Protect confidentiality of records and information about students and staff and use discretion when sharing any such information within legal confines.
  • Perform any duties and responsibilities that are within the scope of employment, as assigned by the Headteacher and not otherwise prohibited by law or regulation.

Qualifications, Skills and Experience:

  • The applicants should a minimum of certificate in secretarial studies, business studies, business computing, business administration from a recognized institute.
  • A diploma in secretarial studies, business studies, business computing, business administration from a recognized institute will be an added advantage.
  • At least three years of progressive experience in a related secretarial or office position.
  • Past exposure and experience in working with a school environment is an added advantage.
  • Excellent secretarial skills, including speed on keyboard with a minimum of errors, general bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications.
  • Computer Literacy skills i.e. proficiency in the use of Microsoft Office.
  • Proven ability to communicate effectively in English, both orally and in writing.
  • Good command of English language is desirable.
  • Demonstrate appropriate telephone etiquette, with proper voice inflection.
  • Have excellent integrity and demonstrate good moral character and initiative.
  • Exhibit a personality that demonstrates enthusiasm and interpersonal skills to relate well with pupils, staff, administration, parents and the community, including difficult and emotional situations.
