Job Summary:   On Behalf of our client, Talent Foresight is seeking to recruit a highly organized and proactive Personal Assistant to support our Managing Director in managing daily tasks and operations. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to prioritize effectively in a fast-paced environment.

 

Key Duties and Responsibilities:

Administrative Support:

  • Manage and organize schedules, appointments, and meetings.
  • Prepare and edit correspondence, reports, and presentations.
  • Answer and respond to phone calls, emails, and inquiries promptly.

Calendar Management:

  • Maintain and update the calendar for MD ensuring optimal scheduling of meetings and events.
  • Coordinate logistics for all appointments, meetings, and travel arrangements.

Task Management:

  • Assist in managing projects and track deadlines to ensure timely completion of tasks.
  • Gather and compile information for meetings and reports as needed.

Communication:

  • Serve as a liaison between the MD and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.

Office Management:

  • Organize and maintain files, documents, and records in an efficient manner.
  • Ensure office supplies are well-stocked and manage inventory.

Event Coordination:

  • Plan and organize company events, meetings, or conferences, including venue selection, logistics, and catering arrangements.

Qualifications, Skills and Experience:

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to handle multiple tasks simultaneously and work under pressure.
  • High level of discretion and professionalism in handling sensitive information.
  • A relevant degree or certification is a plus.

 

Working Conditions:

The position may require flexibility in working hours and occasional travel, as needed.
