Job Summary: The Assistant Finance and Administration officer will provide financial, administrative, and logistical support to ensure smooth project operations in line with organizational and donor guidelines. He/she will be responsible for processing financial transactions, maintaining financial records, preparing reports, and supporting procurement, asset management, and office administration.
Key Duties and Responsibilities:
Financial Management:
- Process payments, manage petty cash, and maintain accurate financial records.
- Support the preparation of monthly, quarterly, and annual financial reports.
- Ensure compliance with donor and organizational financial procedures and policies.
- Ensure proper filing of financial documents for audit readiness.
- Support internal and external audits by availing the required documentation.
- Track project expenditure against budget.
Administration & Logistics:
- Support procurement processes, inventory management, and documentation.
- Coordinate logistics for meetings, training sessions, and field activities.
- Manage office supplies and oversee administrative tasks at the field office.
- Maintain staff attendance records and leave tracking.
- Support contract management and field staff HR-related needs.
Qualifications, Skills and Experience:
- Diploma in business studies, accounting, or related courses
- 2 years work experience in a similar position within the NGO sector.
- Self-motivated and willing to handle extended work schedules with minimum supervision

- High level of discretion, ethics and Integrity
Knowledge, Skills and Abilities
- Excellent organizational and time-management skills
- Solid low-level accountancy and basic bookkeeping skills
- Computer literacy and a working knowledge of accounting packages and other relevant applications, such as spreadsheets
- Solid understanding of financial policies and procedures
- Strong analytical skills to evaluate financial data
- The ability to function well in a team, to provide support as needed
- Knowledge of local languages in the project area is an added advantage like Lugbara, Kakwa, Juba Arabic
