Job Summary: To manage operational HR activities, including recruitment, onboarding, payroll processing, and training coordination, to support effective HR operations.

Key Duties and Responsibilities:

Recruitment & On-boarding

  • Participate in Lodging Recruitment Requests: Use the Sesame tool to lodge recruitment requests.
  • Recruit Qualified Candidates: Source and attract qualified candidates for various roles across departments as per Management.
  • Job Descriptions and Specifications: Ensure all staff have updated job descriptions for their current roles.
  • Job Adverts: Draft and post job adverts on various platforms.
  • Support Interviews: Review applications, shortlist candidates, and support interviews.
  • Draft Employee Contracts: Prepare employment contracts for new recruits for final review and signing by Management.
  • Onboard New Employees: Facilitate the 30/60/60 days onboarding process, including introductions to the team and organization.
  • Draft Staff Induction Programs: Collaborate with the respective HOD to create induction programs.
  • Continuous identification of Onboarding Buddies in collaboration of HOD’s
  • Monitor probation periods: Prompt HOD’s on upcoming expiry of probationary periods in preparation for confirmation or probation extension.
  • Payroll and Benefits Administration:
  • Assist in payroll processing to ensure accuracy and timeliness.
  • Administer employee benefits, such as health insurance and housing allowances.
  • Follow up with HODs for timely submission of performance-related bonuses and incentives.

Training and Development

  • Coordinate training needs with department heads and organize training sessions.
  • Draft and manage the annual training calendar, ensuring its approval.
  • Monitor training programs, including those organized by HQ, and conduct immediate and post-training evaluations.

Employee Performance:

  • Support the performance appraisal process and track employee performance metrics.

Employee Relations and Welfare:

  • Handle employee queries and provide guidance on HR policies and procedures.
  • Ensure compliance with employment laws and regulations.
  • Coordinate wellness programs to enhance employee well-being.
  • Grievances and Disciplinary Procedures:
  • Document employee grievances for escalation to the HR Manager.
  • Coordinate disciplinary hearings and capture minutes and recommendations.
  • Administrative Functions:
  • Maintain accurate and up-to-date employee records.

Equality and Diversity:

  • Promote a culture of equality and diversity within the organization.
  • Prepare accurate documentation for visas, work permits, and dependents’ passes.
  • Assist with accommodation arrangements for expatriate staff
  • Union Management
  • Engage with union shop stewards monthly to address staff-related issues
  • In the event of vacation:
  • Deputy HR manager
  • HR assistant
  • Targets and goals:
  • Efficient recruitment and onboarding process.
  • Accurate and up-to-date employee records.
  • Timely completion of performance appraisals.
  • High participation rate in training programs.
  • Accurate payroll processing.
  • Prompt resolution of employee queries.
  • Active participation in employee engagement activities.
  • Job descriptions for all staff.
  • Signed M.O. Us with key universities in Uganda.
  • Generation of an annual training calendar.

Qualifications, Skills and Experience:

  • Bachelor’s degree in human resources
  • At least 3 years of experience in Human Resources.
  • Strong organizational and administrative skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in HR software and Microsoft office.
