ACORD-U (Agency for Cooperation in Research and Development – Uganda) is an indigenous Non-Governmental Organization (NGO) working for social justice and development. ACORD has been working in Uganda since 1979 with operations in over 25 districts across Uganda. The ACORD-U works in conjunction with people who have been denied their basic rights, helping to better understand, to challenge, and to change the situation in which they find themselves.

 

Job Summary:   The Office Assistant will report to the Project Accountant and will provide support to the entire team in the office.

 

Key Duties and Responsibilities:

  • Provide cleaning services to AMS Project Office, each working day and occasionally over the weekend as agreed with the supervisor to ensure a tidy and organized work environment for all employees.
  • Keeping all areas of the office clean, including kitchen, clean and dry at all times. This includes washing. Dusting, polishing, emptying dust bins, and sweeping as appropriate.
  • Thoroughly clean office furniture, windows, equipment (phones, copiers, printers, etc.), to remove cobwebs, dust from all surfaces and corners.
  • Ensure that all cleaning materials and equipment are maintained in a safe, clean and efficient working condition and kept in the right place after use.
  • Ensure the kitchen is stocked with tea, coffee, sugar, milk and other supplies; prepare tea and other refreshments for visitors as requested by the supervisor.
  • With support from the supervisor, make monthly requests for supplies, receive purchases from the store and effectively use them to meet the desired goals.
  • Conduct spot checks around the office and ensure that tidiness is maintained at all times.
  • Ensure that the supervisor is aware of the need for repair or replacement of materials and equipment including all furniture and fittings for the satisfactory performance of assigned duties.
  • To be responsible for your own health and safety and that of anybody else who may be affected by your acts or omissions.
  • Ensure offices are locked up and ACORD-Uganda property is secure before leaving.
  • Maintain confidentiality at all times during and after duty.
  • Perform any other activities assigned by the supervisor and other staff in line with the office support function.

Qualifications, Skills and Experience:

  • The applicant must hold an Ordinary or Advanced Education Certificate.
  • The applicant for the Office Assistant job must have two years of work experience in a similar position and in a similar work environment.
  • Practical experience in customer care and highly motivated about work.
  • Able to work with minimum supervision
  • Well-organized with ability to follow oral and written instructions
  • Good command of English with strong communication and interpersonal skills
