Office Assistant x6 Ministry of Agriculture Animal Industry and Fisheries (MAAIF)

The Government of Uganda (GoU) has received a loan from the International Fund for Agricultural Development (IFAD) and the OPEC Fund for International Development (OFID) towards financing a ten-year National Oil Seeds Project (NOSP).
The Project is being implemented by the Ministry of Agriculture Animal Industry and Fisheries (MAAIF) as the Lead Project Agency, in partnership with the Ministry of Local Government(MoLG) other agencies, the private sector and farmer Organizations. The Project will be implemented in six area-based hubs: West Nile, Gulu, Lira, Karamoja, East and Mid-Western Uganda.
The project goal of the NOSP is: ‘inclusive rural transformation through sustainable development of the oilseeds sector, while the Programme Development Objective is to ‘to accelerate commercialization in key oilseeds value chains and thereby improve the livelihoods and resilience of the smallholders engaged in oilseed production and marketing
According to the Financing Agreement with IFAD, MAAIF is expected to set up a Project Coordination Unit (PCU) for the day-to-day management and implementation of the NOSP.
Applications are therefore, invited from suitably qualified and experienced Ugandans to apply for the following positions existing in the National Oil Seeds Project Coordination Unit

Post: Office Assistant (06)
Reports to: Office Administrator
Duty Station: Entebbe/Kampala, Lira, Mbale, Arua, Gulu and Hoima (Indicate preference)
Contract Duration: Two-year contract, with six months’ probation period, renewable based on satisfactory performance against agreed targets and deliverables

Purpose of the job:
The Office Assistant shall provide pantry, housekeeping and office support services to the project office.
Key areas of focus
• Clean office premises
• Provision of teas and refreshments to project staff
• Support office operations.
• Specific Duties and Responsibilities The Office Assistant shall be expected to carry out the following duties and responsibilities; 1. Provision of housekeeping services that shall include among others sweeping, scrubbing, mopping and polishing office floors, vacuum cleaning carpets, rags and draperies; dusting and polishing furniture and fittings; emptying and cleaning trash containers and disposing of trash in a sanitary manner
• Cleaning restrooms, sinks and mirrors
• Carrying out official project errands
• Supporting project staff in photocopying, binding and printing of official documents
• Preparing and servicing teas to staff, washing of utensils; ensuring drinking water is available at all times 5. Arrange refreshments for break teas and meals for all schedules meetings 6. Any other duties that may be assigned by the Project Administrator
Outputs: The Office Assistants’ measurable outputs shall include:
• All official premises are maintained in clean, sanitary and tidy condition at all times
• Teas and refreshments are served as and when required 3. Courteous and cordial behavior at all times.

Qualifications:
• The Office Assistant shall possess a UACE certificate or equivalent with a certificate in management, administration, catering, records management or any field relevant in office administration

Experience
• The Office Assistant shall possess a minimum of 2+ years’ work experience as an Office Assistant Demonstrated experience in performing secretarial and administration work is required
Skills and Competencies the Office Assistant should possess the following:
• Written and oral communication skills
• Must be results-oriented, a team player and exhibiting high levels integrity
• Demonstrate excellent interpersonal and
• Housekeeping and office support skills
