Knowledge Management Specialist, Mbale





Job Summary

Provide effective professional technical/practical communication and knowledge management services to support the Project activities.  He/she will also be responsible for the development and implementation of communication strategy and coordination of all events for the project.

Overall Responsibilities
  1. Knowledge Acquisition
  • Develop and implement the Project Communication and KM strategy
  • Work collaboratively with communications, quality improvement & capacity building teams in assessing & learning to ensure alignment & cohesion.
  • Identify, manage, package and disseminate key information to advance technical practice
  • Lead the collection of information and documentation of project bulletins, success stories, technical briefs and project documents.
  • Establish Collaborating, Learning and Adapting forums at national, regional district/cluster level
  1. Knowledge Design
  • Identify & curate technical website content in collaboration with the communications team & technical experts.
  • Identify & share creative, efficient & effective ways to engage audiences & facilitate knowledge sharing.
  • In collaboration with the project teams, coordinate the preparation of presentations, activity summaries, press materials and bi-weekly, monthly, and quarterly reports.
  • Ensure that all the project final documents are of high quality and adhere to the Baylor-Uganda and Citation Standards/Guidelines.
  • Coordinate with Baylor Uganda to ensure regular update of the Project page and Project sites in the Baylor Uganda website in consultation with the Director Monitoring, Evaluation & Learning.
  • Conduct continuous quality improvement to evaluate information adequacy and quality as well as staff and partner needs
  1. Information Dissemination & Communication
  • Scope and Manage the successful execution of knowledge sharing events in collaboration with the research & quality improvement teams.
  • Respond to website members & engage them in meaningful knowledge exchange.
  • Lead production, editing and dissemination of information, education and communication materials (e.g. brochures, fact sheets, newsletters and documentaries.)
  • Develop a database of key local and international contacts, distribution lists for various reports, bulletins, and other documentation.
  • Remain abreast of best practices in HIV/AIDS, Family planning, Maternal Child Health, TB and Health Systems Strengthening by consulting appropriate websites, and list serves, and ensure that these are shared with technical and program staff.
  • In collaboration with the M&E Manager, coordinate brown bag sessions bi-monthly to allow information sharing amongst project staff
  • Provide orientation to all incoming staff on project knowledge resources
  1. Reporting & Documentation
  • Lead Documentation & sharing learning & ensure requirements, lessons learned & best practices for products, events & other knowledge management activities are clear.
  • Be the focal point on all project communication related matters between Baylor Uganda COE and the Mbale, Uganda office responding to information requests as required.
  • Maintain a calendar of events for the Project and ensure recording and sharing minutes of program meetings.
  • Create and maintain knowledge repositories in the staff portal to store articles, reports, concept papers and other project related documents
  • Ensure that all presentations are stored on the staff portal (share point) and on the shared drive.
  1. Stakeholder Management
  • Engage partners & learning champions, work with program managers, project partners to expand various Baylor-Uganda online/in person learning activities including engaging the growing member base on project websites collaborating with external partners.
  • Promote and improve the visibility of the Project through advocacy initiatives, proactive media relations including creating access for journalists with subject matter experts.
  • Cultivate and maintain effective working relationships with government, donors, civil society organizations and other relevant partners and identify opportunities for advocacy and communication partnerships.
  • Maintain regular contact with the Project’s sub grantee partners and district level stakeholders to ensure that key information and documents are regularly shared and that information is proactively collected.
  • Support the Project Director and the Project with media engagement– through formal and informal contacts, by identifying potential stories, arranging interviews, and encouraging the participation of media in Project activities.
Required Qualification, Experience and Competencies:
  • ·       A master’s degree in communication, journalism, public relations or equivalent qualifications.
  • ·       Document Management system qualification will be an added advantage
  • 6 Years Relevant Experience
